1. Introduction

Welcome to Seen Heard Empowered Ltd. Please read these Terms and Conditions carefully before using our website and services. By accessing or using our services, you agree to be bound by these terms.

2. General Information

Seen Heard Empowered Ltd provides coaching, workplace training, and the SHE; Reads seasonal book circle. These terms apply to all users of the website and to all clients engaging with our services.

3. Website Ownership and Use

This website is owned and operated by Seen Heard Empowered Ltd.
By using this website, you agree to comply with the terms outlined here.

4. Age Restriction

Clients must be at least 18 years old to purchase coaching or training services unless parental or guardian consent is provided in writing.

5. Services Provided

Services are provided as described on our website or as agreed during consultation.
Coaching and training are not a substitute for counselling, psychotherapy, or medical treatment.
Clients accept full responsibility for any decisions made as a result of the services provided.

6. Introductory Call

Seen Heard Empowered Ltd may offer an introductory call to potential clients. This call is designed to explore whether coaching or training is a good fit. There is no obligation to proceed after the call.

7. Booking and Payment

  • All sessions must be booked in advance through the online booking system.

  • Full payment is required at least 48 hours before the first session to confirm your booking.

  • Payments are processed securely through Stripe or bank transfer.

  • Payment must be received before services are provided.

8. Cancellation and Refund Policy

  • All payments are non-refundable.

  • Sessions may be rescheduled with at least 48 hours’ notice, subject to availability.

  • Cancellations made with less than 48 hours’ notice will be charged in full.

  • In cases of unforeseen circumstances (e.g. illness or emergencies), discretion may be applied to reschedule.

  • If a session is disrupted due to technical issues on our end, we will offer a rescheduled session at no additional cost.

9. Session Format and Duration

All coaching sessions are conducted via Google Meet unless otherwise agreed.
Session lengths vary depending on the package or service but typically last 60–90 minutes.

10. Confidentiality and Data Protection

All personal information shared during sessions is treated as confidential unless disclosure is required by law.
Minimal session notes may be kept for professional purposes and are securely stored for up to two years before being permanently deleted.
Seen Heard Empowered Ltd complies with UK GDPR and ICO regulations.

11. Responsibilities of Coach and Client

The Coach agrees to provide a safe, supportive, and structured space for reflection and growth.
The Client agrees to participate fully, engage in honest reflection, and take responsibility for actions and decisions made as part of the process.
Optional reflective exercises or journaling may be suggested between sessions to deepen learning.

12. SHE; Reads

SHE; Reads is a seasonal book circle facilitated by Seen Heard Empowered Ltd. It is a reflective and community-based offering, not a coaching or therapy service.
Bookings are non-refundable but may be transferred to another date or participant at the discretion of Seen Heard Empowered Ltd.

13. Prohibited Uses of the Website

Users must not:

  • Engage in fraudulent activity or unlawful behaviour.

  • Send spam or unsolicited advertisements.

  • Introduce viruses or malicious code.

  • Attempt unauthorised access to the website, servers, or databases.

  • Post or share defamatory, offensive, or misleading content.

14. Session Attendance Policy

Clients must attend sessions at the scheduled time. If a client arrives late, the session will still end at the agreed time.
Failure to attend without notice will result in the session being forfeited without a refund.

15. Rescheduling Policy

Sessions may be rescheduled with at least 48 hours’ notice.
Requests within 48 hours will be handled at the discretion of Seen Heard Empowered Ltd and are subject to availability.

16. Events Outside Our Control (Force Majeure)

Seen Heard Empowered Ltd shall not be liable for any delay or failure in service due to circumstances beyond our control, including but not limited to illness, extreme weather, strikes, or technical failures.

17. If There Is a Problem with the Services

If you are dissatisfied with a service, please contact Seen Heard Empowered Ltd within 7 days of the session or event. Every effort will be made to resolve concerns fairly and promptly.

18. Data Retention Policy

Minimal notes and records are securely stored for up to two years after the final session, in compliance with UK GDPR regulations, and then permanently deleted.

19. Cancellation by Seen Heard Empowered Ltd

Seen Heard Empowered Ltd reserves the right to cancel or reschedule sessions, training, or events due to unforeseen circumstances. In such cases, affected clients will be offered an alternative date or a full refund for any unfulfilled service.

20. Limitation of Liability

Seen Heard Empowered Ltd shall not be held liable for any indirect or consequential damages arising from the use of its services. Clients retain their statutory rights under UK consumer law.

21. Intellectual Property

All materials, resources, and website content remain the intellectual property of Seen Heard Empowered Ltd. They may not be copied, shared, or reproduced without written permission.

22. Testimonials and Feedback

Testimonials or feedback may be requested for marketing purposes. These will only be shared publicly with explicit consent and may be anonymised if preferred.

23. Right to Refuse Service

Seen Heard Empowered Ltd reserves the right to refuse or terminate services if a client engages in inappropriate, abusive, or unlawful behaviour.

24. No Guarantee of Results

While Seen Heard Empowered Ltd aims to support each client or participant effectively, individual results will vary. Success depends on many factors, including participation, engagement, and personal circumstances.

25. Client Responsibility for Technology and Access

Clients are responsible for ensuring they have a stable internet connection and functioning equipment to access remote sessions. Seen Heard Empowered Ltd is not responsible for disruptions caused by client-side technical issues.

26. Dispute Resolution

In the event of a dispute, both parties agree to attempt resolution through mediation before pursuing legal action.
These terms are governed by the laws of England and Wales, and clients agree to this jurisdiction.

27. Digital Products and Online Materials

Any digital products, guides, or resources provided are for personal use only and must not be redistributed.
Refunds for digital materials are not available once access has been granted.

28. Updates to Terms and Conditions

Seen Heard Empowered Ltd reserves the right to update these Terms and Conditions at any time. Significant updates will be communicated via email or website notice.
